Asana School of English is a family-run summer school in Cahersiveen, Co. Kerry, Ireland. This policy explains what personal information we collect when you visit our website, enquire or book a place, why we need it, who we share it with and what your rights are. For data protection law, we are the data controller.
If you have any question about your data, or want to use any of your rights, contact our data protection lead, Finn, at finn@asanaireland.com.
About the parent or guardian: name, email address, phone number and payment details. Card payments are handled by Stripe; we never see or store your full card number.
About the student: name, date of birth, sex, nationality, the programme and dates booked, travel details, and the information that helps us choose the right host family, such as preferences about pets, a friend they would like to share with and anything else you tell us.
Health and dietary information: any medical conditions, allergies, medication and dietary needs you choose to share. This is sensitive information. We only collect it with your explicit consent, given on the booking form, and only use it to keep your child safe and well cared for.
Photos and film: we only use photos or video of your child on social media or in our film projects if you have said yes on the booking form. You can change your mind at any time.
Website visitors: when you send us a message through the website we keep what you send us.
To manage your booking and take payments; to place your child with a host family and organise classes, activities and transfers; to look after your child's health and safety during the stay; to keep in touch with you before, during and after the course; and to meet our legal and accounting obligations. We will only send you marketing emails if you have agreed, and you can opt out at any time.
Your child's host family receives the information they need to look after your child, such as name, age, arrival details, dietary needs and any health information that is relevant to their care. Where necessary, relevant health information is also shared with the staff members running classes and activities, so they can keep your child safe. If you booked through an agent, we share booking information with that agent.
We also use trusted service providers to run the school: Webflow (website), Fillout (booking forms), Stripe (payments), Airtable (booking records), Softr (agent portal), Make (automation between these tools), Google (email) and WhatsApp (messaging). Some of these companies store data outside the European Economic Area; where they do, the transfer is protected by the safeguards required under EU law, such as the EU Standard Contractual Clauses or the EU-US Data Privacy Framework. We never sell your data.
We keep booking and payment records for as long as Irish tax law requires us to, which is currently six years. Health information is kept only for as long as it is needed for your child's stay. If your child may come back in a later year, we may keep their basic details so you don't have to fill everything in again, unless you ask us to delete them.
You have the right to see the personal data we hold about you or your child, to have it corrected or deleted, to restrict or object to how we use it, to receive a copy in a portable format, and to withdraw any consent you have given. We will reply within one month. If you are unhappy with how we have handled your data, you can complain to the Irish Data Protection Commission at www.dataprotection.ie.
Our website does not use advertising cookies. With your consent, we use Google Analytics to understand how people use the site, for example which pages are visited and roughly which country visits come from. Google Analytics only runs if you click “Accept” on our cookie banner; it then sets cookies and processes this information for us, and it does not tell us who you are. If you click “Reject”, no analytics cookies are set. Your choice is saved in your browser so we don’t ask again, and you can change it at any time using the “Cookie settings” link at the bottom of every page. The booking form and payment pages, provided by Fillout and Stripe, may use cookies that are needed for them to work securely.
If we change this policy we will update the date at the top of this page.
